Overview

A collection is the public home for a group of pass offers. It brings together the events customers can attend, the pass types and options they can buy, and the information they need to choose.

For example, “Cedar Grove Live” could group several music events. A Flex offer could let customers use credits across eligible dates, while a Series offer could book a specified set of event times together.

What belongs to a collection?

PartWhat it controls
Name, descriptions, and imagesHow customers recognize and understand the offer on the public site.
Eligible EventsWhich events and individual event times are included in the collection's offers.
Flex and Series settingsWhich pass types the collection offers.
Pass options and pricingThe purchasable options, their credits, and prices.
Series optionsThe particular sets of event times customers can book together.
Publication and sales expiryWhether and for how long the public offer is available.

The collection is the offer customers browse. A customer's purchased pass is a separate record with its own usage and credit history.

Plan the offer before publishing

Start with the events and event times you want to include. Check their dates, venues, seating, prices, and compatibility with the collection's tax configuration. Decide whether customers should choose event times later with Flex credits or book a series during purchase.

Then configure the collection and its pass options. A public collection needs a usable offer, not just a name and description. If you offer Series passes, configure an enabled, compatible Series option as well.

Follow Create a Flex Pass collection for the setup walkthrough. To offer specified event times together, continue with Add a Series Pass.

Maintain an existing collection

Keep the name and description and listing images aligned with what customers can buy. Review eligible events and event times when the program changes, and check the affected pass and Series options before confirming an availability change.

Removing an eligible event time can invalidate a Series option even when a Flex offer remains usable. Read the availability review and decide whether to keep the remaining offer published or unpublish the collection while updating it.

Stop or extend the public offer

Use Collection Expiry to set or extend the sales deadline. Use unpublish, archive, or restore when the collection should leave or return to the catalog. Extending an expiry does not by itself publish an unpublished collection.

These actions manage the public offer. They are not a customer refund or booking-change process. For a pass already purchased, locate the customer's pass and review the appropriate action separately.
